Services Catalog

Store your recurring services — consultations, installations, subscriptions, labour charges — in a reusable catalog and add them as line items on any estimate or invoice without re-typing.


Services vs. Items

OjaSuite has two separate catalogs for things you sell:

Both can appear as line items on the same estimate or invoice.

Adding a Service

  1. Navigate to Services → New Service.
  2. Enter a Service Name (e.g. "Monthly Retainer", "On-site Installation").
  3. Add an optional Description — this text appears on the printed estimate or invoice line.
  4. Set the Default Rate. This is pre-filled when you add the service as a line item, but you can override it on any individual document.
  5. Click Save Service.

Editing and Deleting Services

From the Services list, click the edit icon next to any service to update its name, description, or rate. To remove a service, click the delete icon and confirm. Deleting a service does not affect existing estimates or invoices that already contain it.

Adding a Service Line to an Estimate or Invoice

  1. Open a new or existing Estimate or Invoice.
  2. Below the line items table, click Add Service Line.
  3. A dropdown appears listing all services in your catalog. Select one.
  4. The service name, description, and default rate are filled in automatically. Adjust the rate or add a note if needed.
  5. Set the quantity and save the document as normal.

Service lines are labelled with a Service badge on the printed estimate or invoice so they are easy to identify alongside product lines.

Mixing Items and Services

A single estimate or invoice can contain any combination of:

  • Saved inventory items (selected from the item autocomplete)
  • Catalog services (added via the Add Service Line button)
  • Custom / ad-hoc lines (typed in directly with no catalog entry)

All three types are summed into the same subtotal, tax, and total calculations.

Tip: If you charge a fixed rate for a service but adjust it on individual jobs, add the service to the catalog with the standard rate. When adding it as a line item, just overwrite the rate for that specific document — the catalog default is not affected.
