Reports

OjaSuite includes a full suite of financial and operational reports. All reports can be filtered by date range and branch, and exported to PDF or Excel.


Sales & Transactions

Daily Sales

A transaction-by-transaction breakdown of all invoices and POS sales for a selected day. Shows the total invoiced, total paid, and outstanding balance for that day. Useful for end-of-day reconciliation.

Sales by Customer

Total revenue broken down per contact for a selected date range. Quickly identify your highest-value customers and track how much each has been billed versus how much they've paid.

Sales by Item

Shows which products and services generated the most revenue over a period. Useful for identifying your best-selling lines and spotting items that underperform.

Sales by User

Per-staff-member transaction summary for a date range — total invoices raised and amounts collected, broken down by user. Useful for performance reviews and, where applicable, commission calculations.


Payments & Receivables

Payments Received

A log of every payment recorded (cash, bank transfer, online, etc.) for a selected period. Filterable by payment mode and branch. Useful for reconciling your bank or cash drawer.

Invoice Details

All invoices for a date range with their status (Unpaid, Partial, Paid, Cancelled), invoice amount, amount paid, and remaining balance. A useful snapshot of your billing activity for the period.

Debtors List

All customers with an outstanding balance, sorted by oldest outstanding debt first. Shows the total owed per customer and breaks it down by how long each invoice has been outstanding (current, 30 days, 60 days, 90+ days). Ideal for prioritising collections.


Income & Expenses

Expenditure Summary

Total spend broken down by expense category for a selected date range. Shows what percentage of your costs each category represents. See also: Expenditure.

Income Statement

Combines total invoice revenue with total recorded expenses to produce a net profit or loss for any period. Share this report with your accountant or use it for tax preparation. The accuracy of this report depends on how consistently you record expenses.


Activity

Activity Logs

A full audit trail of every action taken in the system — who created or modified an invoice, recorded a payment, added a contact, adjusted stock, and more. Each entry shows the user, action, timestamp, and affected record. Use this report to investigate discrepancies or monitor staff activity.


Filtering and Exporting

Every report supports filtering by date range and branch. Set the filters at the top of each report page and click Run Report to refresh the data.

Use the Export PDF or Export Excel buttons at the top of any report to download a copy for sharing or archiving.

Tip: Use the Income Statement alongside the Debtors List to get a true picture of business health — the Income Statement shows accrued revenue, while the Debtors List shows what has actually been collected.
