Download your OjaSuite data as Excel files at any time, or send exports directly to Google Drive for automatic cloud backup.
Go to Settings → Export Data to open the export wizard. Six data types are available:
| Export | What it contains | Date filter |
|---|---|---|
| Contacts | All customers and vendors — names, emails, phone numbers, addresses | No |
| Items & Inventory | Full product catalogue with prices, stock levels, and reorder thresholds | No |
| Services | Service catalogue with names, descriptions, and prices | No |
| Invoices | All invoices in the selected date range with status and amounts | Yes |
| POS Sales | Point-of-sale transactions in the selected date range | Yes |
| Expenditure | Business expenses in the selected date range with categories and payees | Yes |
For date-filtered exports (Invoices, POS Sales, Expenditure), set the From and To dates at the top of the page before clicking Download. The filter defaults to the current calendar year.
Click the Download XLS button on any export card. The file downloads immediately in Excel 97-2003 (.xls) format, compatible with Microsoft Excel, LibreOffice Calc, and Google Sheets.
Instead of downloading to your device, you can send any export directly to your Google Drive. OjaSuite uses OAuth2 to request access only to the files it creates — it cannot read or modify any other files in your Drive.
Google Drive backup requires a Google Cloud OAuth2 application. Follow these steps once:
https://<your-domain>/app/gdrive-callbackOnce authorized, the settings page shows the connected Google account email and a green confirmation banner.
On the Export Data page, each card gains a Send to Drive button once Google Drive is connected. Click it to upload the export directly to your Drive root as an XLS file. A link to open the file appears once the upload completes.
Google access tokens expire after one hour. OjaSuite automatically refreshes the token using the stored refresh token, so you do not need to re-authorize periodically.
Go to Settings → Google Drive and click Disconnect Google Drive. This removes all stored tokens. You can re-authorize at any time by clicking the Authorize button again.
